Email Attachments in EasyTruckShop

Overview

The Email Attachments feature allows you to send files directly to your customers through EasyTruckShop's email system. You can now attach invoices, work orders, photos, estimates, and other documents when communicating with customers, keeping all documentation centralized within ETS.

Supported File Types

Email attachments support the following file types:

  • Maximum file size: 25MB per attachment

  • Maximum attachments per email: 10 files

How to Send Email Attachments

From an Invoice

  1. Navigate to the invoice you want to send

  2. Click the Email button

  3. In the email compose window, click the Attach Files button (paperclip icon)

  4. Select files from your computer or choose from recently used documents

  5. Review the email preview with attachments listed

  6. Click Send Email

Best Practices

File Naming

  • Use descriptive file names (e.g., "Invoice_12345_Johnson_Repair.pdf")

  • Avoid special characters in file names (#, &, %, etc.)

  • Keep file names under 100 characters

Security Considerations

  • Attachments are sent via secure email protocols

  • Customer must have a valid email address on file

Performance Tips

  • Compress large image files before attaching

  • Use PDF format for documents when possible

  • For multiple photos, consider creating a single PDF document

  2. Check if email was marked as spam

  3. Confirm attachment size wasn't blocked by recipient's email server
